The GDPRiS portal provides the means for schools to add their own local products for schools who may or may not use any external third-party suppliers.
Navigate to the “Local Products” section via the provided links in the menu on the left-hand side of the screen.
A sub-menu will appear where you will be able to see a list of your existing internal system.
To add a new system, click “Add New Product” in the sub menu.
Add Local Product
To add your local product to the GDPRiS portal you will need to provide some information in the options provided.
Provide a name for your product
Category: Choose from the list provided as to what your system is.
You can select an image via the “Choose Image” upload button for your system which will appear in the Local Products sub menu once it has been created.
Choose from one of the following options as to how your system delivers its process to your school.
Fat client/server (on premises)
Fat client/server (cloud)
Web delivered (Provided by a website where you can access/edit/use its functionality)
Other (Provide Information if selected)
Once you have added all relevant information and selected the appropriate means of Delivery, click “Next”.
A pop-up window will appear where you can select how many data fields you would like to register against your local product.
Type in the relevant information or select the relevant options in the provided fields. This will set the information for all the data fields which you would like to create.
Once you have completed adding in the relevant pieces of information for setting up your new data fields, click “Go!” at the bottom of the menu.
Type in the names of the data fields in the provided boxes.
You can add additional fields for your system via the “Add Map Fields” button.
By Clicking the “Add Map Fields” button, this will open a pop-up window which you filled in previously however, at the top of the window you will find a “Add Number of Fields” box where you can type in the number of fields which you would like to have for your Local product.
For this you might want to think about what information is being stored, used by your local product and add the appropriate number of fields for the information which is used/stored i.e.
The above fields are examples of fields of information which you might have on a student which your local product may use or store.
Once you have provided all the information on your Local Product, the reasons for collecting the information it does and what fields of information are retained in your product, you can either click “Save” to save your current progress or “Save and Publish” to commit your changes and to publish your new Local Product as a live product.
How to edit an existing Data Field
Navigate to the system which you would like to edit in the “Local Products” section.
Hover your cursor over the bottom of the box which has all of your data fields listed to show the scroll bar to allow you to scroll across the page to show the other columns for your data fields.
Scroll across the page until you can see the edit and remove icons on the right-hand side.
Use pencil icon to edit a data field. This will open a pop-up widow.
Use the dustbin icon to remove the data field.
